Amending an Approved Eligibility Document
An Approved Eligibility Document (ED) containing an error can be amended. Export Certificates cannot be amended after they are approved and must be replaced. For further details see Replacing an Export Certificate.
If only the transport details need amending, this can be done without requesting an amendment of the ED. See Edit Transport Details.
Amending an ED is a three-step process.
Step 1:
If an error is detected in the Approved ED the Consignor, Consignee, or a NZFSA Inspector for either can change the status to Request Amendment using the status change panel at the bottom of the ED.

This option is only available if the ED is Approved and has no product items exhausted. If product items are exhausted, follow the procedures in Exhausting Product Items or Eligibility Documents (VA Inspector version) to get the ED fully un-exhausted.
A reason must be entered when requesting an amendment and the NZFSA Inspector may require evidence to support the request. If the ED to be amended is a transfer to an exporter (authorisation), the original paper export certificate, if it needs to be replaced, should be returned to the NZFSA Inspector before the ED can be set to be amended.
Step 2:
The NZFSA Inspector for the Consignor can then change the status to To Be Amended. A reason must be entered.
If appropriate, copy and paste the reason entered when requesting the amendment. Alternatively use the reason box to issue further instructions to the consignor. |
Step 3:
The ED will appear on the Consignor's list of certificates requiring attention (the page may require refreshing to show the change of status). It can then be edited by clicking the
next to the ED number on this list or by viewing the ED and using the
button in the top right hand corner.
Once the ED is amended, click the
button at the foot of the ED. The ED will then have the status Amended and will have a statement at the top indicating when it was last amended after approval.

Certificates amended after approval that are used as the source for another ED will be indicated in the VA View source summary table for that ED by an asterisk after the status as shown below.

Edit Transport Details
For an Approved ED the Consignor or Consignor Inspector can change the transport details without amending the ED. For an Approved Export Certificate, an NZFSA Inspector can do the same - see Replacing an Export Certificate for more details.
To amend the transport details for an ED, click the
button in the top right hand corner of the certificate and make the necessary changes on the form that is displayed (example below).

A Consignor cannot amend the Departure Date but a Consignor Inspector can.
Once the changes have been made, click the
button. An entry is made on the History page to indicate who changed the transport details.
