Search Screen

The search screen is used to find a specific certificate or a group of certificates meeting certain criteria. It is also used to find exhausted certificates as they are not shown on any other lists. Archived certificates are not shown in results of searches from this screen – you must use the Search Archive link to find these. See Search Archive for more details.

Each time you open the Search screen it will display the options you used the previous time. The Search for certificates updated period is reset to 14 days each time you click Search to speed up routine searches.

Below is an example of the search screen.

Title Area
General information about the use of the search screen is displayed at the top of the screen including information on any changes that have been made to how the search facility functions.

Certificate Type
By ticking one or both of the boxes you can restrict your search to a particular type of certificate or open it up for all certificates. If both boxes are unticked, the system will return an error and ask you to select one.

Only Search for
To search for exhausted certificates put a tick in the Exhausted Certificates box. To look for certificates that are not exhausted or only partially exhausted, make sure this box is clear.

Often a certificate doesn't appear on the search list because the setting is wrong for the certificate you are looking for.

To search for certificates for which you only have 3rd Party access tick the 3rd Party Certificates box. To search for all other certificates make sure this box is clear.

Shoulder No.
If you are looking for a specific certificate, enter its shoulder number in this box. Entering a complete shoulder number will find the certificate regardless of all other criteria specified. You can use * as a wildcard in this field but its use is limited. See the bottom panel of the search screen for the rules on wildcard use.

Consignor - valid ID required
For most users, this is a drop down list of the premises or exporter IDs for which they have access rights. Select one ID from the list if you wish to limit the search to only those certificates from the selected consignor.

Consignee - valid ID required
Enter an ID if you wish to limit the search to only those certificates consigned to that ID.

Departure Date - specified format
Enter a date if you wish to limit the search to only those certificates with departure dates after the entered date. This is limited to the period specified in the "Search for certificates updated" box. The acceptable formats are: 13-jan-2001, 13/1/01 or 13/1 (year assumed to be the current year).

Submission Date - specified format
Enter a date if you wish to limit the search to only those certificates with submission dates after the entered date. This is limited to the period specified in the "Search for certificates updated" box. The acceptable formats are: 13-jan-2001, 13/1/01 or 13/1 (year assumed to be the current year).

Status
Select Any Status, which clears all the other boxes, or select one or more statuses from the list. If none of the status boxes are selected, the system will assume Any Status.

Sort By
Select from the drop down list the order in which you want the search results sorted and select Ascending or Descending. The options are: Submission Date (default), Update Date, Departure Date, Shoulder Number, Consignor, Consignee or Status.

Show
Select the number of results to display. If the certificate you are looking for is not among the ones listed, you can try increasing the number of certificates displayed by selecting a number from the list.

Search for certificates updated
This restricts the search to certificates last updated within the selected time period. By default the period is within the last 14 days. Each time you click the Search link in the navigation frame to go into the Search page, this box will be reset to 14 days and will stay that way unless you select another time period from the drop down list.

A common cause of certificates not appearing on a search list is that the time period is too narrow. If the certificate you are looking for is quite old it is much quicker to enter the full shoulder number into the Shoulder No box.

Search Now
Once you have selected the criteria, click the Search Now button to find the certificates. If there are none that match the criteria selected, you will get the message No certificates found. This doesn't necessarily mean that the certificate you are looking for is not on the system, just that the search criteria may be too narrow. If there are matching certificates, you will get a page listing them under the same headings as the E-cert home page. Like the home page the certificate numbers are links to view the certificates and there may be action buttons depending on the certificate status and your user type.

Bottom of Screen
The rules for using wildcards in the Shoulder No field are provided at the bottom of the screen. Other information related to using the search page may be published here from time to time.
