Signatory Audit Search Screen
This facility is available to nominated NZFSA Inspectors for the purpose of auditing certificate signatories. For details of the audit procedures see the NZFSA VA Intranet home page and look in Programmes -> Certification.
E-cert will not tell you how many certificates were approved by the signatory over the period and will not select a sample of certificates for auditing. |
To access the Signatory Audit Search Screen, click the Audit Search link in the left hand E-cert navigation frame. If the link is not there, you don't have audit permission with your current log-in.
On the screen that appears, enter in the Surname box the name of the signatory for whom you wish to find certificates. If you are not sure how to spell the surname, you can enter just the start of it. Click the Search button.

If there is more than one name that matches what you have entered you will get a list of names to choose from on the Select a Signatory screen. Click on the name of the signatory you wish to audit.

This will give you the Search documents screen.

By default the audit period is set for certificates approved between today and the beginning of the month three months prior to today. If you wish to audit certificates for a different period enter the desired date range. By default the system searches for all certificates but you can limit the search to one or other type of certificate by ticking the appropriate document type box (if you leave them blank the system assumes Any Type).
The list of certificates displayed can be sorted by shoulder number (default) or Approval Date and can be in either ascending (default - recommended) or descending order. These settings are not remembered from one session to the next.
Once you have chosen the search criteria, click the Search Now button to display the list of certificates. To reduce server load, the system will only look for certificates within one calendar month at a time starting with the month of the start date.

The certificates are then displayed by calendar month. If you selected Any Type of certificate, export certificates are listed first with a line between them and the EDs. Right click the certificate number and select Open in New Window to view any of the certificates listed.
If you don’t open the certificate in a new window, clicking the browser back button to go back to the list of certificates gives a page expired error and you will have to go back to the Search Documents form and reset all the fields. |
If the same certificate was approved by the signatory more than once in the month, the certificate will appear more than once on the list.
The link to any given certificate will always be to the most recent version of the certificate, even if it is not currently approved or if the signatory you are auditing had only approved an earlier version. To see the earlier version you need to click on the History button in the top right hand corner of the certificate and look for the approval entry for the signatory you are auditing. Click the
icon at the beginning of the line to show that version of the certificate.
Unfortunately, historical versions of certificates are currently only available in the Industry view which has no source summary table. The historical versions are not available for archived certificates. |
On any page there will also be links to the next month forward or back within the selected period. There will be links even if there were no certificates approved in a particular month. Where there were no certificates approved by the signatory matching the specified criteria within a particular month a screen like the following will be displayed.

When you have finished auditing the certificates you can go back to the Search Signatory screen to select another auditee.
Most audit log-ins are set up as read-only and the auditor will be unable to action these certificates in any way. If you do have action permissions, ensure you don't inadvertently change the status of any certificates. |
